Policies
Membership terms and conditions
The terms that apply when you join: fees and how to pay, the 50-week year, holding a place, giving notice, changes and complaints.
Section 1
About these terms
These terms are an agreement between you (the parent or carer, or the adult member) and Kirklees Trampoline Gymnastics Academy Ltd (“KTGA”, “we”, “us”).
KTGA runs trampoline and gymnastics classes at Huddersfield Leisure Centre, Spring Grove Street, Huddersfield HD1 4BP.
New families accept these terms when they create an account on our booking portal. Existing families are asked to accept updated terms through the portal.
These terms sit alongside our other policies: Payments and Late Fees, Cancellation and Leaving, Refunds and Missed Classes, Camps and Parties, Safeguarding, Conduct and Complaints, Health and First Aid, Privacy and Photo Consent, and Free Trial Rules. You can read them all in full on our website at kirkleestrampoline.co.uk/policies.
By accepting these terms you also agree to all of the policies listed in 1.4, which you can read in full on our website at kirkleestrampoline.co.uk/policies.
Nothing in these terms affects your legal rights as a consumer.
Section 2
Joining
The easiest way to book is on our booking portal, run by iClassPro: portal.iclasspro.com/kirkleestrampoline/dashboard. If you would rather, you can also book by WhatsApp, email or phone and we will help you.
A joining fee of £25 per child is charged when a child first enrols on a class through the portal. This applies to all classes except Gym Tots, Bounce Tots and pay-as-you-go sessions, which include Little Movers and open sessions. We may waive the joining fee as part of an offer.
There is no joining fee for Gym Tots or Bounce Tots, or for pay-as-you-go sessions, which include Little Movers and open sessions.
Please keep your account details up to date, including emergency contacts and medical information.
British Gymnastics membership is required for every child in all classes. It is needed for insurance and affiliation. Families sign up with British Gymnastics themselves and pay British Gymnastics directly. The cost and renewal are set by British Gymnastics, not by KTGA.
Section 3
Monthly class fees
Most classes are paid monthly. Current prices are shown on the booking portal.
Fees are added to your account on the 1st of each month.
Fees are due from the 1st of the month up to the 5th. You can pay any time in that window. If the 5th falls on a weekend or a bank holiday, payment received by the next working day counts as on time.
We ask families to pay by bank transfer to Kirklees Trampoline Gymnastics Academy Ltd. We give new families our bank details when they join, and you can ask us for them at any time at [email protected]. Please use your child’s full name as the reference (or your family name if you have more than one child with us). Payments made through the booking portal (iClassPro) are also accepted.
Bank transfers are recorded on your account by hand, so they may take a short time to show.
You pay for the month whether or not your child attends every class in it.
In the month your child joins, you pay a pro rata fee for the classes left in that month. Full monthly fees start from the 1st of the next month.
Section 4
Annual affiliation fee
Recreational and intermediate classes: an annual affiliation fee of £25 is charged once a year, on the anniversary of the date your child first joined (12 months after joining, and every year after that). It is charged even if you paid a joining fee in the last 12 months.
Squads (Regional Squad, Group 2, Group 1 and DMT): an annual affiliation fee of £60 is charged once a year, every January. A child who joins part-way through the year pays £5 for each month left in that year, including the month they join. For example, a child who joins in July pays £30. From the next January they pay the full £60.
There is no annual affiliation fee for Gym Tots, Bounce Tots or Little Movers.
The affiliation fee is separate from the monthly class fee and the joining fee. It is billed separately and does not appear on your monthly bill. It is due 14 days after it is added to your account, and we ask for it by bank transfer (see 3.4). No late fee applies to it.
Section 5
The 50-week year and closures
Classes run 50 weeks a year.
We are normally closed on Christmas Day, Boxing Day and New Year’s Day. Any other closure dates are announced by us in advance.
Monthly fees stay the same every month, including months with closure days.
You will not be charged extra in a month that has five class days, and you will not get money back in a month that includes a closure day.
Up to 14 days of cancelled sessions in a year are not refunded or credited. This includes Christmas Day, Boxing Day, New Year’s Day and any other closure days or cancelled classes. If we cancel more than 14 days of sessions in a year, our Refunds policy explains what we offer.
Section 6
Late payment
A £5 late fee is added to your account if payment is not made by the 5th (see 3.3 for weekends and bank holidays).
The late fee is a flat £5 per family, per month. It applies to monthly class fees only. It does not apply to camps, parties, or Gym Tots and Bounce Tots term fees.
We will send a reminder when fees are added, and an overdue reminder if payment has not reached us by the 5th.
If you are having trouble paying, please talk to us before the 5th. See section 9 (payment plans).
Section 7
Unpaid fees
Fees are what keep our classes running. If fees are still unpaid after the overdue reminder, we will contact you kindly to help you clear the balance.
If fees are still unpaid by the 15th and no payment plan has been agreed, the place may be removed. We will always try to speak to you first.
Any money owed is still owed after a place is removed, and we will keep in touch with you about it.
Section 8
Re-joining after unpaid fees
If a child left with money owed, the balance must be paid in full before they can enrol again, unless we agree a payment plan.
The £25 joining fee is charged again when a child re-joins, unless we agree to waive it.
Section 9
Payment plans
If you are struggling to pay, please contact us at [email protected]. We will treat it in confidence.
If you need a payment plan, please email [email protected] and we will agree one with you case by case, in writing. While you keep to an agreed plan, the late fee will not be added.
Section 10
Gym Tots and Bounce Tots (term fees)
Gym Tots and Bounce Tots run in terms that follow UK school terms, so the length of a term varies.
The price of a term depends on the class and the term. There is no joining fee.
Term fees are due before the first session of the term.
Term fees are for the whole term and are not reduced for missed sessions.
Section 11
Notice to leave
Non-squad classes: please give at least 7 days’ notice before the 1st of the month. If your notice reaches us at least 7 days before the 1st, you will not be charged for that month.
Squad members (Regional Squad, Group 2, Group 1 and DMT): please give at least one calendar month’s notice before the 1st of the month you want to stop. For example, to stop from 1 January, tell us by 1 December.
Please give notice in writing by email to [email protected].
Anyone still enrolled on the 1st of the month is charged for that month. We do not charge part-months as standard. Any part-month adjustment is made by hand, at Aaron’s discretion.
If you pay by standing order, you must cancel it with your bank. We cannot cancel it for you.
Full details are in our Cancellation and Leaving policy.
Section 12
Leaving without notice
If a child stops coming without notice, the place stays open and fees continue to be charged until we receive notice.
The notice period in section 11 then applies from the date we receive it.
Section 13
Holding or pausing a place
We do not normally pause or hold places.
A place can only be held with Aaron’s agreement. A held place is still charged at the normal monthly fee unless the place is dropped.
If a place is dropped, we cannot promise the same class or time will be free later.
Section 14
Changes to fees and to these terms
We will give you a full calendar month’s notice of any change to fees.
A new fee only applies after that month’s notice has ended.
We may update these terms. We will tell you before changes take effect and ask you to accept them through the portal.
Section 15
Changes to classes
If we need to change a class time, day, coach or area of the venue, we will give you notice as early as we can.
Section 16
How we contact you
We contact families by email from our booking portal, using the email address on your account. Please make sure our emails do not go to your junk folder.
We may also use WhatsApp on 01484 976253 for quick messages.
You can contact us at [email protected].
Section 17
Behaviour and safety
Everyone at KTGA must follow our Code of Conduct and our safeguarding policy. KTGA follows British Gymnastics safeguarding policy and procedures.
We may remove a place if there is serious or repeated breach of the Code of Conduct, after following the steps in that policy.
If we remove a place under the Code of Conduct, fees already paid for the current month are not refunded, and no further monthly fees are charged after the place ends. Any money still owed remains owed.
Section 18
Complaints
If you are unhappy, please tell us. Our complaints procedure is in the Safeguarding, Code of Conduct and Complaints document.
Section 19
Under-18s and account holders
The account holder must be 18 or over. For a member under 18, the parent or carer who accepts these terms is the account holder. They are responsible for fees and for keeping the account information correct.
Members aged 16 and 17 may attend classes and leave on their own, with their parent or carer’s written permission (see 20.4). Their parent or carer stays the account holder, signs their health declaration, and is copied in on messages about them.
Section 20
Arriving, leaving and collection
Please bring your child into the Trampoline Centre and hand them to a coach. Please do not leave a child at the centre until a coach is there.
Please arrive on time. A child who arrives late may miss the warm-up, and a coach may ask them to sit out until it is safe to join.
Please collect your child on time at the end of class. We hand children only to their parent or carer, or to an adult you have named to us.
Children under 16 must be collected by an adult and may not leave on their own. Members aged 16 and over may leave on their own only if a parent or carer has given us written permission.
If you are running late, please call or WhatsApp 01484 976253 as soon as you can.
If a child has not been collected and we cannot reach any named adult, we will follow our safeguarding procedure, which may include contacting the police or children’s services.
Section 21
Hall rules and belongings
Please follow Huddersfield Leisure Centre’s rules and the coaches’ instructions in the hall.
Food and drink are not allowed on the equipment. Mobile phones must not be used on the equipment or in the training area.
Parents and carers watch from the spectator area. Please do not go onto the equipment or training area unless a coach invites you.
We cannot be responsible for lost or damaged personal items. Please name your child’s belongings and leave valuables at home.
Section 22
Term dates and closure dates
Gym Tots and Bounce Tots term dates and any closure dates are published on our website and on the booking portal, and we also tell families by email or WhatsApp.
Section 23
Guest coaches and outside providers
Sometimes a session is led by a guest coach or an outside provider, for example Dare2Air at camps. They follow our safeguarding policy and Code of Conduct, and hold enhanced DBS checks. KTGA coaches supervise them while they work with children. We share only the health and contact information they need to keep children safe.
Section 24
Squads, competitions and moving classes
Squad places, competition selection and moving a child between classes are decided by the coaches.
British Gymnastics rules apply at competitions.
Competition entry fees and travel are paid by families. Entry fees are not refundable once entered.
Section 25
Pay-as-you-go and open sessions
Pay-as-you-go sessions, which include Little Movers and open sessions, are booked and paid for on the portal in advance.
They are not refundable once booked, unless we cancel the session. If we cancel, we will offer a credit or a refund.
The monthly late fee does not apply to them.
Section 26
Risk and insurance
Trampolining and gymnastics carry a risk of injury, even with good coaching and supervision.
KTGA is insured through British Gymnastics.
Nothing in these terms limits our liability where the law does not allow it, including for injury caused by our negligence.
